Quote follow-ups that actually go out — for a 6-tech HVAC shop
Client: Regional HVAC contractor (anonymized at owner's request)
Owner was sitting on roughly 40 unsent quote follow-ups a week because nobody had time. We wired Claude to their existing CRM email so every quote that hadn't been responded to in 48 hours got a personalized, plain-English follow-up — owner reviewed and clicked send. Closed-quote rate moved from 18% to 27% over the next 60 days.
- follow-ups now sent vs. ~5 before
- ~40/wk
- from scoping call to live
- 9 days
- monthly software added — runs on the owner's existing tools
- $0
Challenge
Owner had quotes going out and disappearing. Nobody on a 6-person team had time to chase. He'd looked at two CRM "AI add-ons" priced at $400/mo each, neither of which would actually draft the follow-up — they'd just remind him to do it.
Approach
Build tier, fixed at $2,500. We mapped his existing quote workflow (Jobber → Gmail), wired Claude to draft a follow-up email per stale quote using the original quote details and customer name, and put the drafts in a daily Gmail folder. Owner reviews each in 30 seconds and clicks send. No new software for him to learn.
Outcome
First two weeks: 84 follow-ups sent that would not have gone out otherwise. Closed-quote rate moved from 18% to 27% by day 60. Owner asked us to scope a second build for new-customer onboarding.
Stack
- Claude (drafting)
- Jobber (CRM, already in place)
- Gmail + Apps Script glue
- 30-min training session for owner
